Retention policy overview

Retention policies let you configure Connected data retention as well as the grace period that Connected retains deleted users and devices before permanently deleting them.

The following list describes the key concepts of retention policies.

Policy components

Each retention policy contains the following components:

  • General details. Policy name, description, and policy scope (corporate or group level).

  • Recent versions. Number of versions to retain, starting at the time retention runs and looking back a maximum number of calendar days equal to Daily versions. Any daily versions that fall within this number are also considered a "recent version".

  • Daily versions. Number of calendar days to retain the last file version of the day (if one exists), not including the day that retention runs.

  • User deletion grace period. Number of days to retains deleted users, including their devices and data, before permanently deleting them. Maximum: 180 days.

  • Device deletion grace period. Number of days to retain deleted devices and their data before permanently deleting them. Maximum: 180 days or the value of User deletion grace period, whichever is smaller.

  • Device deletion notification. Whether Connected sends an email to users when you delete their device.

Default retention behavior

By default, Connected retains items as follows:

  • Files. Maximum of 20 recent versions and 180 daily versions.

  • Deleted users. 35 days.

  • Deleted devices. 35 days.

    Connected does not notify users when you delete their device.

Ability to lock policy components

You cannot lock retention policy components.

A retention policy applied to a group always overrides a policy applied at the corporate level or to one of the group's direct ancestors.

Policy status

When you create a retention policy, you can either publish it or save it as a draft. Published policies take effect immediately. The Policies page identifies the status of retention policies using these icons:

  • icon for unpublished retention policy  Unpublished draft

  • icon for published retention policy  Published draft

    Policies with a draft in progress include the qualifier: Has Draft icon
