Example of a sharing policy
This example describes how to use corporate and group sharing policies to meet specific file sharing requirements.
Suppose that you work at the fictitious AcmeXYZ Corporation and want to create a corporate sharing policy to define the following behavior:
- Allow users to share any file except certain image and music files with other Connected users at AcmeXYZ Corporation.
- Allow files shared with these recipients to remain accessible for a maximum of 90 days.
- Prevent users from sharing files with anyone else.
- Allow group-level policies to override this behavior for Connected user and private user recipients. However, never allow anyone to share files with the general public.
To define this behavior, use the Connected web application to create a sharing policy based on the values in the following table. Apply the policy to the whole company so that it affects all of your Connected users, regardless of their group.
Connected user | Private user |
Public user | |
---|---|---|---|
Allow or prevent sharing | Allow | Prevent | Prevent |
Time restrictions | 90 days |
Not applicable | Not applicable |
File type restrictions (certain image and music files) |
Block the following types: TIF, JPG, PNG, GIF, BMP, MP3, WMA, WAV, AAC |
Not applicable | Not applicable |
Category locked or unlocked | Unlocked | Unlocked | Locked |
Now, suppose users in the Sales group need a few changes to this corporate policy so that they can share files as follows:
- Allow Sales group members to share any file except certain music files with any other person at AcmeXYZ Corporation, regardless of whether the recipient is also a Connected user.
- Allow files shared with these recipients to remain accessible for a maximum of 120 days.
- Prevent Sales group members from sharing files with anyone else.
To provide this support, create another policy based on the values in the following table and apply it to the Sales group. This policy overrides the unlocked Connected User and Private User recipient category rules of the corporate policy for Sales group members.
Connected user | Private user |
Public user | |
---|---|---|---|
Allow or prevent sharing | Allow |
Allow (private domain: |
Prevent |
Time restrictions | 120 |
120 | Not applicable |
File type restrictions (certain music files only) |
Block the following types: MP3, WMA, WAV, AAC |
Block the following types: MP3, WMA, WAV, AAC |
Not applicable |
Category locked or unlocked | Locked | Locked | Locked |
TIP: Connected does not override group-level sync or sharing policies so you do not need to lock their rules. However, locking a group policy's rules ensures that if someone ever converts the policy into a corporate one, other policies cannot override it and cause unintended behavior.
