Content-specific sharing restrictions

Connected offers content-specific sharing restrictions as an add-on feature to its standard file sharing policy. If this option is enabled for your company, you can prevent users from sharing files with content that Connected classifies as personally identifiable information (PII).

Setting content-specific sharing restrictions is optional. If you configure them, Connected analyzes certain types of shared files to determine whether they contain PII. If it fails to analyze a file because of a network or connection issue, it retries the analysis until it succeeds. When analysis finds a file that contains PII, the system processes the file based on all policy rules that apply.

You can configure different content-specific sharing restrictions for each recipient category. For example, you can allow users to share files that contain PII with everyone in your company but prevent them from sharing those files with anyone else. If you choose to configure content-specific sharing restrictions, you decide how Connected handles shared files with PII:

  • Prevent users from sharing files with PII

    NOTE: Connected analyzes only certain file types for PII. Therefore, even if you select this option, users might still share files with PII. For example, because image files are not analyzed, a user can share an image of a scanned bank statement.

  • Allow users to choose whether to share files with PII on a file-by-file basis

    When Connected detects that users have attempted to share files with PII, it requires them to review those files and specify which ones to share despite the restricted content.

In addition, you can configure the same option to apply to files that are not analyzed due to file size (more than 5 MB) or analysis error. These types of files may or may not contain PII. By default, Connected allows users to share files that it cannot analyze.
